Manifested vs. Unmanifested Pallets: How to Read a Manifest and Price the Risk

11 min read · Buying Smart

What a manifest really tells you, the fields that matter, why 'retail value' is not resale value, and a simple formula to decide what you should pay.

If you remember one thing about liquidation, make it this: the manifest decides how much you can know before you buy. Understanding it is the most useful skill a pallet buyer can learn.

What is a manifest?

A manifest is a spreadsheet or list that describes the contents of a load. It is typically created when goods are scanned out of a retailer's or liquidator's warehouse. Common columns include:

  • Item description or title.
  • Quantity.
  • UPC, SKU or model number.
  • Original retail price or "MSRP" (sometimes called ext. retail when multiplied by quantity).
  • Category or department.
  • Sometimes condition notes.

Three levels of manifest

  • Manifested: a list of items in the load. You can look up each item and estimate value.
  • Partially manifested: some items are listed, or the list is a summary by category. Useful as a guide, but there will be gaps.
  • Unmanifested: no itemized list. You know the general category and condition grade, and that is all.

On our site every listing states which of these it is. Unmanifested lots are clearly marked "sold as-is", with photos for reference only.

Retail value is not resale value

This is where many new buyers lose money. A manifest that says "$5,000 total retail" does not mean you can sell the items for $5,000. In practice:

  • Many items sell secondhand for a fraction of their original retail.
  • Customer returns include items that are damaged or missing parts.
  • Some products were overpriced at retail and never sold well at all.
  • Selling fees, shipping and your time cut into the gross.

Use retail value only as a rough indicator of quality. Base your decision on realistic resale prices.

How to evaluate a manifest in five steps

  • Sort by retail price, highest first. The top 10–20% of items usually carry most of the value. Look those up first.
  • Check sold prices, not asking prices, on the marketplaces you sell on. Asking prices are wishes; sold listings are reality.
  • Apply a condition discount. For customer returns, assume some items will be unsellable and price the rest as used.
  • Count the "long tail". Dozens of small, low-value items take as much time to list as one big item. Decide whether you want that work.
  • Add up realistic resale, then subtract every cost (below).

A simple pricing formula

Maximum price you should pay = realistic resale total − selling fees − freight − tax − disposal − the profit you want.

Example: you estimate realistic resale at $2,400. Fees at 15% are $360. Freight is $200, tax $40, disposal $50. You want at least $800 profit for your time. $2,400 − $360 − $200 − $40 − $50 − $800 = $950. If the pallet costs more than about $950, it does not meet your goal.

Pricing an unmanifested pallet

You cannot run the full calculation without a list, so you rely on averages and on the seller's honesty about category and condition.

  • Buy a category you know well, so you can resell almost anything that arrives.
  • Start small, and track your results. After three or four pallets you will know your own average.
  • Prefer sellers who describe the condition grade and where the goods came from.
  • Expect variance: one pallet may be great and the next one average. Your decision should work on the average, not the best case.

Red flags in manifests

  • Every item is a high-value best seller (real loads are mixed).
  • Retail values are rounded or inflated.
  • The manifest belongs to a different load than the photos show.
  • A seller refuses to say whether a list is the actual load or just a "sample".

Our approach

We label every lot as manifested, partially manifested or unmanifested. If a lot is unmanifested, we say so in plain words and do not promise specific items. If you want to know more about a particular listing before you buy, call us at +1 (612) 203-5917.

Frequently asked questions

Is a manifest a guarantee?

No. Manifests are generated in bulk and are usually accurate as a guide, but items can be missing, substituted or in different condition. Treat it as a close guide.

Why are unmanifested pallets cheaper?

Because the buyer takes on more uncertainty. You cannot calculate resale value in advance, so the price is lower to compensate.

What percentage of retail value should I pay?

There is no fixed rule. Work backwards from what you can realistically resell the items for, minus all costs, rather than from the retail value.
